THE SHORT ANSWER
A task is one unit of work. A process is a repeatable set of activities for an outcome. A workflow makes the movement operational: what triggers it, which steps and decisions occur, who or what owns each handoff, and what output ends it.
Use four basic parts

| Output | Useful response, nurture path or recorded closure |
The same pattern can describe invoice approval, employee onboarding, content publishing, customer support, weekly reporting or Program registration.
Do not confuse the task with the system

Optimizing one task can weaken the whole process if it creates more review or errors elsewhere.
Define a start and finish
- What event starts the work?
- What information must be present?
- What observable output means it is complete?
- Who receives that output?
- Which exceptions need another path?
Once the boundary is clear, map the current workflow.
Apply the idea to one real workflow
Choose one current workflow. Record the present outcome, the proposed change, the accountable owner, the most important exception or failure, and one before-and-after measure. Test the smallest safe version before expanding it.
