THE SHORT ANSWER
Workflow automation connects a trigger to rules and actions that produce or route a result. A form can create a record, send confirmation and notify an owner; an uploaded invoice can request approval and update status. The workflow still needs ownership, exceptions and monitoring.

Rules should state what happens when data is missing, duplicated or contradictory.
Distinguish deterministic and AI-assisted work
Rule-based automation follows explicit conditions. AI-assisted automation may classify text, extract fields or draft content where inputs vary. The AI component adds uncertainty and requires evaluation and fallback.
Use the simplest system that reliably meets the need.
Automate only a ready workflow
- The purpose and owner are clear.
- Inputs are available and sufficiently reliable.
- Rules or evaluation criteria are known.
- Exceptions have a destination.
- Failure is detectable and recoverable.
- Benefits justify build and maintenance.
Apply the idea to one real workflow
Choose one current workflow. Record the present outcome, the proposed change, the accountable owner, the most important exception or failure, and one before-and-after measure. Test the smallest safe version before expanding it.
